Administrative/Development Coordinator

The Balsam Mountain Trust is seeking a highly organized, friendly, and proactive part-time Administrative/Development Assistant to join our team. In this role, you’ll wear many hats, becoming the glue that keeps the Trust running smoothly and efficiently. You will:

  • Provide exceptional administrative support to our team, including scheduling meetings, managing calendars, and coordinating follow-up.
  • Provide logistical support for our annual fundraising event,
  • Organize and maintain critical documents, records, and databases.
  • Assist in the stewardship of donors and friends of the Trust.
  • Take minutes during meetings and transcribe recordings accurately.
  • Manage purchasing and coordinate with vendors and external partners to ensure a seamless workflow.
  • Be a go-to resource for colleagues, readily offering assistance and information.

The Trust is located in the heart of Balsam Mountain Preserve, a private preserve with low density housing and over 3,400 acres of permanently conserved lands. A private nonprofit, the Trust’s mission is to inspire people to be responsible stewards of the natural and cultural resources of the southern Blue Ridge Mountains through education and conservation leadership.

You’ll be part of a small but mighty staff of people passionate about the plants and critters of our region, who are keen on fostering that passion in others. We are looking for someone who is eager to help their fellow team members and isn’t scared to ask for help when they need it. We are serious about what we do, but we like to have fun doing it!

Qualifications

  • You’re a highly organized individual with a knack for multitasking and prioritizing tasks.
  • You’re a tech-savvy individual, comfortable with computers, scheduling software, and productivity tools.
  • If you have experience with CRM software or similar databases, that is a plus but not required.
  • You have excellent communication and interpersonal skills, building rapport with everyone you meet.
  • You’re a proactive problem-solver, taking initiative and finding solutions before issues arise.
  • You possess strong attention to detail and ensure accuracy in everything you do.
  • You’re a team player with a positive attitude and a willingness to help others.

This is a part-time year-round position averaging 20 hours/week. It is an entry to midpoint level coordinator position in which we expect to offer starting compensation of $16.50 to $19.25 per hour, depending on experience.
